Navigate to the Team tab
Go to Settings in the left sidebar, then select the Team tab. You will see a table listing every person who currently has access to your organization, including pending invitations.Roles and permissions
Pharos has four roles. Assign the most restrictive role that still allows each person to do their job.Owner
Owner
The Owner created the organization and holds full control. There is exactly one Owner per organization.Can do everything, including:
- Create and delete brands
- Edit brand profiles and all settings
- Invite, remove, and change roles of any team member
- Manage billing and subscription
- Transfer ownership to another active Admin
Admin
Admin
Admins have the same access as the Owner except they cannot manage billing or delete the organization.Can:
- Edit brand profiles and all settings
- Create and delete brands
- Invite, remove, and change roles of Members and Viewers
- Edit and delete prompts, competitors, personas, and analysis data
- Configure AI agents
- Access Billing settings
- Remove other Admins or the Owner

Member
Members can read all data and make edits, but cannot change structural settings or manage team access.Can:
- View all dashboards and analysis results
- Add and edit prompts, competitors, and personas
- Read settings
- Edit brand profile or organization settings
- Invite or remove team members
- Delete brands, prompts, or other data
- Access Billing
Viewer
Viewer
Viewers have read-only access. Use this role for stakeholders who need to monitor results without making changes.Can:
- View all dashboards and analysis results
- Read settings
- Edit or delete anything
- Invite or remove team members
- Access Billing
Only Owners and Admins can invite or remove team members. If you do not see the Add user button, your role does not permit team management.
Invite a team member
Enter the email address
Type the email address of the person you want to invite. Pharos sends an invitation email to this address with a secure link.
Select a role
Choose Admin, Member, or Viewer from the Role dropdown. You can change this at any time after the person accepts.
Pending invitations
Pending invitees count toward your organization’s seat quota even before they accept. This prevents you from inadvertently going over quota when multiple people accept at the same time. If an invitee previously declined the invitation, inviting them again automatically reopens the invite rather than creating a duplicate entry.Change a member’s role
In the team table, click the ⋯ (more options) menu on any non-Owner row and select Make Admin, Make Member, or Make Viewer. The change takes effect immediately.Resend an invitation
For rows with a Pending status, open the ⋯ menu and click Resend invite. A new invitation email is sent to the same address with a refreshed expiry.Remove a team member
Open the ⋯ menu on a member row and click Remove member (or Revoke invite for pending rows). Confirm in the dialog that appears. Removing a person immediately revokes their access and frees up the seat.You cannot remove yourself from an organization. Ask the Owner or another Admin to remove you, or transfer your ownership before leaving.
Seat quota
Your plan includes a fixed number of seats. The seat count equals 1 (Owner) plus every active and pending member. When you reach the limit, the Add user button shows a tooltip indicating the quota has been reached. Upgrade your plan or remove a member to free up a seat.Accepting an organization invitation
When someone invites you to their Pharos organization, you receive an email with a unique invitation link. Follow these steps to accept it.Open the invitation email
Click the Accept invitation button in the email. You are taken to the Pharos invitation page.
Sign in with the invited address
Pharos requires you to be signed in with the same email address the invitation was sent to. If you are already signed in with a different account, click Sign in with a different account to switch.If you do not yet have a Pharos account, click Sign up to create one with the invited email address.

Invitation links are valid for 7 days. Ask the Owner or an Admin of the organization to resend the invite from the Team tab in Settings.

If you click an old link after already joining, Pharos recognizes you as an existing member and shows a confirmation screen. Go to the dashboard — no action is needed.

If you declined and changed your mind, ask the Owner or an Admin to invite you again. Re-inviting automatically reopens the previous invite.
The organization has reached its seat limit
The organization has reached its seat limit
If the organization is at capacity when you try to accept, Pharos shows a seat limit error. Ask the Owner to upgrade the plan or remove an inactive member, then try the link again.
